How to save a Word document as a PDF without breaking it

Updated ยท 6 min read

The short answer

In Wrdio, open the .docx and press Save as PDF, or press Edit and choose File, Export, PDF. In Microsoft Word, use File, Save As and pick PDF. Any program can also print to PDF. If the layout shifts, the usual causes are missing fonts, manual spacing and page breaks.

A PDF looks the same on every screen, which is exactly why people ask for one. The trouble starts when the PDF does not look like the document you wrote: a table has slipped onto the next page, a heading is stranded at the bottom, the font is suddenly something else.

Here are four ways to make the PDF, then the checklist that stops it from going wrong.

Four ways to turn a .docx into a PDF

1. Wrdio's Save as PDF button

Open the document on the home page. Above the pages you will see Save as PDF. It opens your browser's print window, where you set the destination to Save as PDF and press Save. It is the quickest method for reading copies, and the file stays on your device.

2. Export from the editor

Press Edit, then File, Export, PDF. On a phone, tap File and choose Share as PDF. This produces the PDF file directly.

3. Microsoft Word's own PDF option

In Word on a computer, choose File, Save As, and pick PDF from the file type list. The Export menu also has a Create PDF option. Because Word made the document, this is the most faithful conversion for files that use Word-only features.

4. Print to PDF from any program

On Windows, choose the printer called Microsoft Print to PDF. On a Mac, use the PDF menu in the print window. It works everywhere, but clickable links may not survive, so use methods 1 to 3 when links matter.

If the PDF looks wrong: the checklist

  1. Fonts. A PDF can only use fonts that are on the computer making it. If your document uses a font that is missing, a stand-in gets used and the text reflows. Choose a common font such as Arial, Calibri or Times New Roman for anything that must match exactly.
  2. Spaces and empty lines used for layout. Ten returns to push a heading down the page work until the text above changes. Use spacing settings or a real page break instead.
  3. Page breaks. A manual page break stays where you put it, but text before it may now run longer. Scroll through every page after exporting and fix any orphaned headings.
  4. Tables. Check that they fit inside the margins. A table wider than the page gets cut off.
  5. Pictures. Make sure they are inside the margins, and set to move with the text if you want them to stay beside a paragraph.
  6. Headers, footers and page numbers. Look at the first and last pages. They are the ones that break.
  7. Paper size. A4 and Letter are slightly different. A document made for one and printed on the other will re-break its lines.

The two-minute habit. After you make the PDF, open it and scroll through every page once. Fix the Word file, not the PDF, and export again. It is much faster than fixing problems after the PDF has been sent.

Which method for which job?

Going the other way

Turning a PDF back into a Word file is harder, because a PDF does not remember the structure of the document. We explain why and your best options in PDF to Word: why it goes wrong and what to do instead. For tidier documents in the first place, try Word formatting basics.

Questions people ask

How do I save a Word document as a PDF?

In Microsoft Word, choose File, Save As, then PDF. In Wrdio, open the .docx and press Save as PDF, or export a PDF from the editor. Any program's Print window can also save to PDF.

Why does my PDF look different from my Word document?

The usual causes are fonts that are not on the computer making the PDF, spaces and returns used for layout, and page breaks that move when text reflows. Using real styles and common fonts fixes most of it.

Can I save a Word document as a PDF on my phone?

Yes. In Wrdio on a phone, open the file, press Edit, tap File and choose Share as PDF. The PDF goes to your Downloads.

Does saving as PDF keep my links and headings?

Usually links stay clickable when you export or save as PDF directly. Printing to PDF can lose clickable links in some programs, so test a link in the result.
