PDF to Word: why it goes wrong and what to do instead
The short answer
A PDF stores where each letter sits on the page, not paragraphs, so turning it into a Word file means guessing the structure. Word itself can open a PDF and convert it, which is the best first try. Scanned PDFs need text recognition (OCR) first. Wrdio does not convert PDFs, but it does turn a Word file into a PDF.
"Convert PDF to Word" is one of the most searched phrases on the internet, and one of the most disappointing to act on. You upload a neat two-column report and get back a document where every line is its own text box.
We should say up front: Wrdio does not convert PDFs. It works the other way, from Word to PDF. But this is a question people ask us, so here is an honest guide to why it goes wrong and what gives the best results.
Why PDF to Word is hard
A Word document is a story: paragraphs, headings, a list, a table. The program decides where the lines break when it draws the page. A PDF is a drawing. It records "put this letter here, that letter there", with no idea which letters form a paragraph.
Converting means reading the drawing and guessing the story again. Simple text pages convert well. Anything with columns, tables, footnotes, text boxes or unusual fonts is a guess, and the guess is sometimes wrong.
Your options, best first
- Open the PDF in Microsoft Word. Recent versions of desktop Word convert a PDF when you open it, and the result is usually the best you will get for ordinary documents. Word warns you that the layout may change.
- Use a free desktop suite. LibreOffice can open PDFs for editing, with mixed results on complex pages. It is free and runs on your computer.
- Use an online converter. This is the quickest, with one big warning: most upload your file. Do not use them for private documents. Our guide on whether it is safe to open Word files online explains why and how to check.
- Retype or copy the text. For a one-page letter, selecting the text in a PDF viewer and pasting it into a new document is often the fastest and cleanest route.
- Ask for the original. If a person or company sent you the PDF, the editable source file likely exists. A short email can save an hour.
What if the PDF is a scan?
A scanned PDF is a photograph of a page. There is no text in it to convert, so a normal converter produces a picture inside a document. You need OCR (optical character recognition), which reads the picture and turns it back into letters.
- Many desktop PDF programs and phone scanner apps include OCR.
- Good lighting and a straight, flat page make a big difference to accuracy.
- Always proofread. OCR confuses similar characters, such as 1 and l or 0 and O.
How to get a cleaner conversion
- Start from a text PDF, not a scan, whenever you can.
- Convert only the pages you need. Fewer pages means fewer mistakes to fix.
- Expect to fix tables. Rebuilding a table by hand is often quicker than repairing the converted one.
- Check fonts and spacing after converting, and apply real styles. Our Word formatting basics shows how to clean up fast.
- Keep the original PDF. It is the version that looks exactly right.
Where Wrdio fits in
Once you have a .docx, whether from a conversion or from scratch, Wrdio is a good place to tidy it: it opens in your browser, you edit it, and you save it again as DOCX or PDF without an account or an upload. The step you want next is probably saving the Word document as a PDF without breaking it.
Questions people ask
How do I convert a PDF to Word for free?
Open the PDF in Microsoft Word, which converts it when it opens, or use a free desktop suite such as LibreOffice, or a trusted converter. Check the layout afterwards because conversion often shifts it.
Why does my PDF look wrong after converting to Word?
A PDF holds the position of every piece of text, not paragraphs and styles. A converter has to guess the structure, and tables, columns and unusual fonts are where it guesses wrong most often.
Can Wrdio convert a PDF to Word?
No. Wrdio opens and edits .docx files and can save them as PDF, but it does not convert PDFs into Word documents.
How do I convert a scanned PDF to editable text?
A scan is a picture of a page, so it needs optical character recognition, usually called OCR. Many desktop tools and some phone scanner apps include it. Proofread the result, because OCR makes mistakes.
